Membership & passes

This article describes the settings of a membership or a pass. Within this module it is possible to create new, edit and activate/deactivate your memberships and passes.

Definition of a membership and a pass
A player can have one membership and several passes. Both a membership and a pass can consist of value from all of your venue assets that you are managing within the Sweetspot plattform. A membership can be connected to a federation, while a Pass can't.

You find your memberships and passes by navigating to the left side bar and select Memberships/Passes. Simply create a new membership or a pass in the top right corner or select an existing one from the list to make an edit.

Creation

First you need to select if you want to create a membership or a Pass. This can't be changed after you created the membership:

Overview

There are four settings needed for a membership or pass to work.

General - the general settings for the membership/pass consists of:

  • Name and description
  • Play-right requirement
  • The duration of the membership/Pass
    • Calendar year or Calendar month
    • 12 month or 30 day rolling membership
    • Period

Reservation policies - the rules defining the reservation policies.

Some examples could be:
  1. Different rulesets for different courses (if multiple)
  2. Simultaneous bookings allowed
  3. Restrictions regarding PrimeTime

Promotions - discounts linked to the memberships. Some
examples could be:

  1. Free rounds, X% discounts or play value
  2. Differentiated values on different courses (if needed)
  3. Days and times it applies
  4. Who should get the discount (Holder, guest to holder)

Pricing - related costs to the membership, divided in different
predefined fees

FIELD / PARAMETER DESCRIPTION
Name of membership Make as descriptive as possible
Description Describe the content of the membership/pass. This information will be shown for the player if you have activated the parameter "Show membership in App & Web booking"
Play right - Required Not in use. Keep it off.
Duration - Calendar Year & calendar month Will allow validity of membership be based on calendar year.
Duration - 12 months & 1 month custom cycle Will allow validity of membership be based on 12 month, from assignment date.
Duration - Period Set your own period for the validity date. With this option, monthly payment requires a minimum of three months to work.
Federation membership For venues connected to the Swedish Golf Federation (GIT) or Scottish Golf Union (CDH)
Show in App & Web booking

This makes the membership or pass available for players to buy in the Sweetspot app and in the web store.

When enabling this option you get a drop down with further configuration options under the title "Restrict public visibility". When choosing private, you will be able to activate the membership or pass and copy the checkout link and send it to a receiver so that they can complete the purchase. It will not be visible to anyone that visits the list in app or web without the link. This is suitable if you, for example, want to offer a special discount to a corporate partner or to your staff etc.

Auto-renewal subscription

This allow the membership or pass to automatically renew after the end date. It is compatible with the duration alternatives:
- Calendar year & calendar month
- 12 months & 1 month custom cycle.
NOTE: It is not compatible with the period duration

When enabling this option you also get to configure when the last date of cancellation should be allowed by the player and how long in advance you would like to send out an email notifying the user about the expiration of the membership or pass.

Maximum slots allowed

Turning this on allows you to create a sense of urgency and exclusivity to your offering with an artificial maxim allowed slots. By default 1-9999 is allowed. But if you enable this on an already existing membership or pass that a player has already purchased, you will be restricted in how few slots you are allowed to configure. The number of players that have already purchased the offering will then display next to the toggle so that you know which minimum level is needed.

Limit members' age

This option allows you to configure a membership  or pass to have a from, to or from & to age. This is suitable if you want to configure an offering to be targeted towards a dedicated segment of your member base. 
NOTE: this restrictions looks at the player's profile when buying the offering. This means that, as of yet, this is not suitable to configure for minors that do not yet have their own account or is allowed to pay themselves in the app or web.

.Status

When the status is "Inactive" the membership or pass can't be assigned to a player.

When the status is "Active" the player can use the membership or pass at the venue with the applied rules, policies and benefits.
Once activated the checkout link will appear in the top right corner.

  • Checkout link - click on it to copy a direct link to your clipboard so that you can send it directly to a user or group over email or chat, or to embed into a button on your homepage or in a newsletters.

  • UUID - is the unique identifier of the membership or pass. Use this or the name of the membership or pass when communicating with Sweetspot.

 

 

 

1. Reservation policies vs promotions

Even though the reservation policies-tab and the
promotions-tab look very similar, they are very different.

Reservation policies

Reservation policies-tab is split up in to two sections;

RULES defines WHEN and WHERE the policies are applied.

Rules can be restricted by:

  1. Venue(s)
  2. Days and times 
  3. PrimeTime

POLICY CHECKERS defines USAGE

Policy checkers defines usage:

  • Total bookings within a defined time unit
  • Simultaneous bookings (per venue or in total)
  • Days before a slot is bookable

 

Promotion policies

The promotion-tab is split up in to two sections;

RULES defines WHEN and WHERE the DISCOUNT is applied.

Rules can be restricted by:

  1. Booking source
  2. Venue(s)
  3. Days and times 
  4. PrimeTime
  5. Booking periods
  6. Rolling booking window

The ACTIONS defines the discount for the player.

ACTIONS and can be set up by:

  1. Fixed discounts
  2. Percentage discount

rules of the checker as well as the restrictions

The rules:
  • PrimeTime
  • Venue assets
  • Days and times

Policy checkers:

  • Simultaneous bookings
  • Number of days before
  • Total number of bookings

Reservation policies - intermediate

Different rules can be combined into complex checkers. As an example: It is possible to setup a membership/pass with the following rule set for an organisation with 3 venues:

- 6 simultaneous bookings (total)
- 2 simultaneous per venue
- 1 simultaneous bookings on Prime Time
- Prime Time only bookable 7 days in advance, all other tee times 14 days

For a booking to be able to be made, the rule(s) connected to the policy checker(s) needs to be true for each booking.

Example
If a user with above specified membership has 2 PrimeTime bookings, it is not possible to make a third booking. However, if the user books a non-PrimeTime tee time it is allowed and will be able.


Promotions

Discounts and promotions are configured here.

A promotion consists of a rule set that determines when and how the rules are applied, along with an action that specifies the discount. You can create multiple promotions for various scenarios, as illustrated. Promotions are applied sequentially from top to bottom, and multiple promotions can be combined for a single booking. To prevent a promotion from combining with others, use the "Incompatible promotions" button. If two promotions are available simultaneously and are incompatible, the top most promotion will be applied. You can rearrange promotions by dragging and dropping them using the arrows on the right-hand side. The player will still be able to choose either, or none, at checkout in the app or web.

 

Promotions - Rules

RULES dictates WHEN and WHERE the DISCOUNT should be applied, and can be restricted by:

  • Venue(s)
  • Days and times
  • PrimeTime
  • Booking periods

Rules - setup multiple discounts that applies on different
rulesets. Some examples could be:

  • Different discounts dependent on weekday
  • Different discounts to different times during the day
  • Different discounts on different venues
  • Different discounts during different periods

Promotions - Actions

The discounts connected to a membership/pass are setup using the tab ACTIONS.

The different discount types are:
  • Fixed discounts
  • Percentage discount

The limitations can be set to either:

  • Uses & Time slots (Amount of times the discount can be used on a slot)
  • Value (A value that can be consumed when booking)
  • None (No limitations and can be used how many and how often as the reservation policies allows)

Discounts -setup multiple discounts that applies on different rule sets. Some examples could be:

  • 50% discount on weekdays, but only 25% on weekends
  • Value during daytime, no discount on evenings
  • Different discounts or uses on different venues
  • Different discounts or uses during different periods

Filter

You can also apply filters in this view. You have these to choose from;

  • Golf carts
  • Tee time slots
  • Ball dispensers

Pricing

Select your desired fee from the options provided below.

  • Member fee
  • Cleaning fee
  • Gym fee
  • SGF member fee
  • GIT fee
  • Rental items - Golf cart fleet

The selected fee will be displayed on the receipts.

You are able to create and name your own fees by navigating to the tab called "Fees" in the left hand side menu bar.

Price for one time payment - Total price for monthly payment

Price for one time payment

  • Determine the total cost for the membership.

Total price for monthly payment

  • Set up a monthly payment plan with a total price that will be spread out over the duration of the membership.

This pricing information is essential if you option to sell memberships using Sweetspot.
