This article explains how to configure a voucher through the club portal and how to add a voucher from the tee sheet.
Clean up codes without holder assigned
Introduction
A voucher grants the code holder a discount until it is fully redeemed.
A voucher consists of two components: the voucher itself and the promotion. The voucher handles management tasks like creating the voucher, assigning a code to a specific player, and adding the voucher to a booking. The promotion aspect ensures the voucher's eligibility for use in bookings or player assignments and applies discounts to specific items or the entire booking.
Voucher name - the name must be between 3 and 155 characters and is unique to the club. If a voucher is canceled, the name can be reused.
Valid dates - The dates specified by the club user in this form are used to verify that a voucher is applied within the chosen timeframe.
For instance, if the voucher's valid dates are from August 1st at 10 am to August 7th at 10 am:

On August 2nd (within the valid dates), the voucher can be used for a booking, or the player can assign the code to themselves.

On August 8th (outside the valid dates), the player cannot assign the voucher code to themselves or use it for a booking.
The "No end" option allows the voucher to remain active indefinitely. You can modify the valid dates at any time.
Voucher Type
- Standalone codes - enable the creation of a single code for the voucher, which can be distributed to multiple players.
- Bulk codes - enable the creation of multiple codes for the voucher, each of which can be assigned to a player only once.
Based on your distribution strategy, you can select one of these voucher types. For instance, if you aim to promote your facilities via social media, you can create a "standalone" voucher with the code "summer20" and share it on Instagram, Facebook or LinkedIn. Alternatively, you can generate a "bulk codes" voucher with 100 unique codes and email them to 100 recipients, inviting them to visit your facility.
Each code is distinct within the Sweetspot system, allowing you to add a prefix to differentiate it from codes used by other clubs.
You can apply the same promotional rules used in other contexts to determine the validity of the voucher in terms of:
- Days & Times
- Booking Period
- Courses
- Booking Source
- Prime Time
Discount type
Once a discount type is saved, it cannot be altered.
Uses - This refers to the number of times an action has been applied, calculated for each item in a booking. When the usage reaches the set limit, the action can no longer be applied.
Discounted Value - Restricts an action based on the total discount it has provided.
Apply discount to - filters
- Golf carts - When the "Golf carts" filter is applied, any golf cart items in the booking will receive the discounts specified in the promotion actions, provided the booking meets the promotion criteria.
- Code holder - The individual possessing the voucher code.
- Guest to holder - All players in the booking, except for the code holder, when the code holder is the booking owner.

Generate codes
Three simple steps: access the Codes tab in the voucher, input the number, and click generate.
Import player to a voucher
To import players into a voucher, you need to create a CSV file containing a list of emails.
Emails must belong to players who are members of your golf club and have a Sweetspot account.
File requirements:
- The file can contain up to 1000 emails.
- The file size must be under 5Mb.
- Emails must be in the correct format.
- The CSV file should only include a list of emails.
Special cases
- All duplicate entries will be disregarded, and only unique entries will be imported.
- Emails that do not belong to club members will not be imported. You can download a list of these non-imported emails.
A recommended approach is to begin by exporting players from the player module, selecting the emails of those you wish to provide with vouchers, and removing any unnecessary columns.
Export codes
If you wish to distribute vouchers differently, you can export all codes to a CSV file. Codes without an assigned holder will not include a player email.
To export codes, click the "Actions" button in the Codes tab, then select "Export to CSV." You will receive an email with the downloadable file.
Remove unassigned codes
To quickly remove all codes without assigned holders, click "Actions" and select "Delete codes with no holder."
Dynamic Periods for Vouchers
This feature enables you to design vouchers that remain valid for a specified duration of days, weeks, or months, beginning from the first time a player redeems the voucher rather than a predetermined date.
For example, you can create a Fall promotion voucher that offers a discount for up to two weeks from the initial use, but not beyond November 30th. After this date, the voucher will automatically expire, regardless of when it was first used (e.g., even if activated on November 29th). You can select from three time frames: Days, Weeks, or Months.

If desired, you can design vouchers with no expiration dates, keeping them active until you choose to deactivate them manually.
